Hon Treasurer’s Report 2009
Unlike previous years, the accounts for 2009 are still in the process of being audited, and therefore I am not in a position to send them out with this
report.
2009 has been a busy year; we have had a successful 90th anniversary. As all of the events were well supported, we have not exhausted all of our jubilee
funds and I anticipate that we will be carrying around £1000 forward to our centenary celebration.
Attendances have been down on last year and therefore overall I anticipate that we will have lost around £250 this year. We have had had a successful
raffle again thanks to Chris Brough, and this will provide us with funds over the next two years to ensure that we do not dip into our reserves too much.
Work commitments have meant that I have not been at the club as much I would have liked this year and I have therefore been reliant on the support of
Kim Turner and Andy Brough to collect subs from the willing and not so willing members.
One person who does not get mentioned in dispatches too often is our Hon Auditor, Brian Tuckwell. There has been a lot to audit this year, and my
thanks go to him for his help and guidance.
We are well placed financially compared to a lot of clubs, but we are not complacent. Careful stewardship of our accounts means that we are able to
hold celebrations like our 90th, where so many can benefit and reminisce when we were all that little but quicker in the water!

Hon. Secretary’s Report 2009
It is hard to believe that the 90th year of the club has come and gone. Having spent so long in the planning stages it was hardly surprising
that we had a year to remember. Thanks must go to Philip Swann who single handedly organised the main event, the Gala Dinner at the
Hawthorns, where we welcomed old friends and new to a super evening. Philip also laid out memorabilia to remind us of the happy
occasions we had shared.
David Cash – not to be outdone – organised the 90th Celebratory Polo Tournament, complete with commemorative tee shirts and supper for
those taking part. We welcomed 5 teams to the pool. I know he would want me to pass on thanks to all who covered the catering so well, as
well as table officials and the referees that made the afternoon and evening go swimmingly. The Old Boys of HGSOBSC fittingly won the
tournament.
What did the women do? Well, we relied on Rebekah Hannah to organise a May Madness Polo Match. Chris Greenhill volunteered to act
as ref. and anyone who wanted to play was allowed to. It wasn’t the most beautiful game or the most skilful, but it was great fun thanks to
the men who, good natured as ever, were dragged in to play. In fact it was such a success that it is planned to repeat it this coming year.
On a more serious note, the life guard course took place this year. It saves the club great expense being able to rely on our own lifeguards
rather than use the pool staff. Thank you to all who took part this year. Volunteers certainly make the club what it is and I would like to
thank Lorraine for taking over as minute secretary at committee meetings as well as continuing to help out on the table with Ken and
myself. We have also welcomed Diane Charles as a new table official enabling Lorraine to have a go on the clocks.
The social evening was well attended, due in no small part to the raffle draw being held on the same night. Thanks to Chris Brough for her
hard work sending out tickets and trying to get the stubs and the cash back, helped of course by Richard.
In the pool on Fridays we have failed to attract anyone to help with the swimming classes. Philip now has the entire small pool to manage
and this has led to a reduction in numbers as parents see that we can’t devote enough time to the classes. Without help we shall seriously
have to consider whether to keep the small pool going.
Lack of enthusiasm and equipment meant that mini polo sessions were suspended. However the kit is back at the pool now and hopefully
the sessions will restart soon. We do now attract more adult casual swimmers in the main pool, though it is hard work swimming in the
same lane as the training polo men!
Thank you to all the parents who support their children, those who offer transport but even more so to you who come and watch matches. It
is a real help to have you alongside the younger members when they are at times totally outplayed. Hopefully this year we will see a vast
improvement in the U16 and U18 teams as they mature and get to work together as a team.
Team building doesn’t just take place in the pool. We still do not see the support for the clubhouse (not indeed the BTOBS) that we would
hope for. It is left to the same few people to organise the food, serve the drinks and socialise with away teams. I would urge all polo players
to make a commitment to the clubhouse in the coming year.
I do not propose to go through the winners of trophies this year, but would urge you to visit the website for the details. Thank you to John

I began by saying how quickly the 90th year had gone, now we must look to our centenary, it is just around the corner!

CLUB. HELD IN THE CLUBHOUSE ON 4th MARCH AT 7.30p.m.

Minutes of the 83rd Annual General Meeting had been circulated, were taken as read. The minutes were confirmed. W. Savage proposed the adoption of the minutes,
seconded by R. Hannah; all in favour. The minutes were duly adopted and signed.

The meeting recorded a vote of thanks to David Cash for all his hard work for the club. After comments from the chair with regard to numbers attending Friday sessions

The meeting thanks were given to Rebekah Hannah and Matthew Hannah for their contributions over the last year.
Notice of significant changes to rules had been given out with the agenda for the meeting.
Dave Cash addressed the meeting with regard to the proposed rules for the club to bring us in line with ASA regulations. The rules give us a firm framework to carry the
club into the future.
Dave Cash then proposed that we adopt the draft of the rules, seconded by Andy Jordan. Ken offered a vote of thanks to Dave for the work he had done and Dave thanked
Phil for his contribution.
Richard Brough expressed concern about rule 7.3 which states that the quorum for an executive meeting would be 6 people. He suggested it be reduced to 4 people.
Dave Cash proposed that the draft rules, with the alteration in 7.3 to read ..,and the quorum of that meeting (the executive committee meeting) shall be four., be adopted.
This was seconded by Andrew Brough – all in favour; rules are formally adopted.
Election of Club Welfare Officer.
As a result of rule changes the Club Welfare Officer is to be elected at the Annual General Meeting. Chris Greenhill proposed Ken Gower, this was seconded by Bill
Savage – all in favour.
Subscription changes are no longer covered in the rules.
Following discussion at the Executive Committee Meeting, the Executive Committee recommend that the rule for subscription read:
Subscriptions for senior members be £23 and for junior members £13.50, to be discounted by £5 and £2.50 respectively for renewing members, if paid before the
end of May. New members shall pay subscriptions at the discounted rate.
Vanessa Cole proposed we adopt this rule, seconded by Dave Cash – all in favour, duly adopted.
Phil Swann reminded us about 90th celebratory events.
The website had been set up thanks to the Cooper family for their work.
Richard Brough expressed thanks to all those who had given lifts to and from polo matches.
Richard sent a written observation.
We live in a time when there is ever more attention paid to the health and safety of children and to putting back something into society, rather than always taking out. I am
pleased that the HGSOBSC has for many years been putting back into society and also helping to ensure the increased safety of countless numbers of children over the
years. All of this is done as a voluntary activity with no payment other than covering costs. The old boys should be proud of what you do, as I am and I thank you for your
selfless giving of your time and energy.
Date of the next Executive Committee Meeting:
Monday 9th March at 6 p.m. at the Clubhouse. This will be a brief meeting looking at elections and dates only.
Phil Swann thanked those present for their attendance and ended the meeting at 8.34p.m.
